Operations Administrative Assistant

The Role: 

As the Operations Administrative Assistant, you will be a part of a rapidly growing team and will be able to bring your strengths and passions to work with multiple departments within our LATAM region.

Job Description:

  • Reconciling ledgers and balance sheet items.
  • Completing supplier setup forms for new customers.
  • Maintaining the sale ledger and chasing outstanding debts.
  • Customer Invoicing & Accounts Receivable collections
  • Issuing invoices on a monthly basis and liaising with account management for information each month.
  • Updating Sales Force system with invoicing and payment information on a daily basis.
  • Exporting and collating reimbursable expenses each month for the payment run.
  • Preparing and posting monthly journals.
  • Assisting with year-end audits.
  • Provide scheduling and communication support for LLamasoft other teams as directed.
  • Other general administrative support such as typing, data entry, copying, faxing, and filing.
  • Ad Hoc reporting and analysis
  • Other general office duties as necessary

The Qualifications:   

  • Demonstrated ability to multi-task a high volume of projects and administrative functions.
  • Professional appearance and manner with well-developed interpersonal, organizational & communication skills.
  • University Degree in Business Administration, Finance or related.
  • 2 – 3 years of Experience as business analyst, administrative / finance assistant or similar.
  • Knowledge / Experience with MS Office Suite (Outlook, Excel, Word, Powerpoint).
  • Must be very detail oriented.
  • Self-driven and responsible.
  • Must be fluent in English; Portuguese is a great plus!
  • Must live in Panama City, Panama to be able to work locally out of our office there.
